Cosplay Convention Vendor Stocking Guide

A convention booth is a small retail store with a hard deadline and a fixed footprint. Vendors need stock that photographs well, packs flat, survives being tried on and covers enough sizes to avoid turning away a customer who is ready to pay. Buying for a show is not the same as buying for a website.
This guide is for convention vendors, cosplay retailers and online sellers who buy wholesale for show season and need a size and depth plan rather than a single hero costume.
What sells at a convention
Convention buying is driven by the character the attendee already wants to be, but the sale often happens at the booth, where the customer can see the fabric and try the fit. Full sets sell to committed cosplayers; separates, capes, corsets and accessories sell to people building a look or upgrading an existing costume. A booth that only stocks full sets misses the walk-in buyer who wants a piece, not a project.
Generic archetypes travel better than any single character: school-uniform sets, fantasy battle outfits, hooded robes, Gothic and lolita dresses, pirate and steampunk separates. They can be merchandised across several fandoms without licensing a character.
The size run is the stock plan
Cosplay customers are not a single body type, and a booth that stops at XL turns away a meaningful share of buyers. Stock S–5XL where the style allows, and weight the middle: a practical starting split for a first show is roughly 30% M/L, 25% S/XL, 20% 2XL and 25% across the remaining sizes. Adjust after the first show using actual sell-through rather than the size you personally expect to sell.
Publish the measurement chart at the booth. A customer who can compare their bust and waist with a centimetre chart buys with more confidence than one who is told “it runs small”. Our size chart guide explains how to measure and how to read a graded run.
How deep to buy per style
Depth depends on whether the style is a hero, a core or a test:
- Hero styles — the pieces in your booth photos. Buy enough to display one of each size and sell two or three per size.
- Core styles — proven archetypes. Buy a full size run and replenish after the show.
- Test styles — one or two pieces per size. If they sell out on day one, the next order is a bulk order; if they do not, you have not tied up cash.
Stock trials start at one piece per style with mixed sizes and colours, which is designed for exactly this kind of test. Bulk pricing starts at 10 pieces per style.
Packing and display
Costumes are bulky on a rail and easy to damage in transit. Ask for flat-fold packing, a size sticker on each polybag and a carton ratio that matches your booth plan. Steam or hang pieces before the show; velvet, lace and sequins show creases under booth lighting. Keep a repair kit with safety pins, spare hooks and a needle for the small failures that happen during try-on.
Replenishment during the season
The gap between shows is usually a few weeks, which is too short for sea freight. Stock styles can be sampled in 3–7 working days and produced in 2–4 weeks after approval and deposit, then shipped by air or express. Plan the reorder before the first show, not after the last piece sells, and keep the approved sample so the replenishment matches.
Licensing and character names
Unlicensed character costumes are a legal risk for the seller, and the risk sits with the party selling to the public. If you sell character-inspired pieces, describe them by style rather than by a trademarked name, and check the rules of the convention you are attending. Custom development from a customer’s reference is a separate conversation; the OEM/ODM guide covers how sampling works.

FAQ
What is the best MOQ for a first convention order?
Start with one piece per style across a full size run, mixed colours accepted. That lets you test which archetypes sell at the show before committing to bulk pricing, which starts at 10 pieces per style.
Can I reorder quickly between conventions?
Stock styles sample in 3–7 working days and bulk production usually takes 2–4 weeks after approval and deposit. Air or express shipping can close the gap between shows, but the reorder should be placed before stock runs out.
Do you supply plus sizes for cosplay vendors?
Yes. Many cosplay styles are stocked to 3XL–5XL, and we can grade a style beyond the stock range from 100–300 pieces per style and colour. Check the size chart on each product page before ordering a run.
